Start with high-volume questions
Review repeated tickets and chats. Prioritize installation, plans, billing process, policies and troubleshooting steps.
Write answerable articles
Use one clear topic per article, explicit steps, current screenshots or examples, and named owners. Avoid vague marketing language in operational instructions.
Approve before automation
Move articles through draft, review and approval. Keep sensitive or internal procedures unavailable to public AI responses.
Launch in draft mode
Let Copilot suggest answers while agents verify sources and correct gaps. Record helpful/unhelpful feedback.
Expand carefully
Enable assisted or automatic responses only for topics that are consistently answered with high confidence and clear escalation rules.

Troubleshooting and recovery

Return to the smallest reproducible scope, compare current configuration with prerequisites and inspect the latest change.
The workflow works only for administrators
Review roles, site scope, provider permissions and object ownership using a non-administrator test account.
Customers receive duplicate or delayed outcomes
Inspect idempotency, provider delivery attempts, queue retries, threading and automation overlap.
A provider or channel becomes unavailable
Use the documented fallback, pause unsafe automation and communicate ownership until service is restored.
AI answers are unsupported or overconfident
Reduce automation scope, verify retrieved knowledge, raise handoff sensitivity and review provider/model changes.
